Provide administrative facilities and in-house conference space for board meetings and special meetings as needed by the board. Office facilities include standard office equipment including furniture, computers, copy machine, FAX, and other equipment as required to conduct business. Telephone services will be provided and Warren & Company will establish and create a communication link between registrants and the board.
Receive and maintain all correspondence applications for registration, and other data requested by the board from registrants and applicants. Provide access to these records during business hours to authorized individuals, as determined by the client.
Provide secretarial services and routinely prepare response to correspondence, upon conferring with the appropriate Board Member.
Establish and maintain record keeping systems. The board office shall serve as a repository for all correspondence, records and actions of the board. The board office will maintain, secure, and separate files for the board, board business, and licensees.
Develop and maintain a working data base and word processing program with capabilities for handling applications, licensees, renewals and notices as required for the functioning of the board. Record annual continuing education units (CEU’s) of each applicant as submitted. Prepare an annual roster of licensees and back up computer records daily.
In accordance with the laws of the State of Alabama and regulations, establish a set of computer based accounting books and records and provide necessary bookkeeping services to the board.
Prepare and submit financial and activity reports for the review of the client.
Prepare an annual financial report to be sent to the State Budget Office annually. Comply with all State regulations when submitting vouchers and cash receipts to the State Treasury.
Function as the Administrative Office for the Board. Serve notice of meetings and board minutes. Provide administrative support necessary to effect changes in regulations and/or statutes as directed by the board including:
• Handling and routing of general correspondence related to the operation and performance of the board.
• Processing requests for applications for licensing, organization of any disciplinary action.
• Compile files of each applicant’s application and supporting data, correspondence, records, and complaints for disciplinary action that are to be brought before the board.
• General mailings of correspondence of the Board including notices, application requests, licensees, and directory.
• Keep registrants informed of their status and perform other tasks as requested by the board.
• All work which may be necessary for the operation of each unique client.
Warren & Company, Inc. shall perform other duties requested by the Board and agreed upon, including logistical support for conference planning, examination of applicants for licensing, meetings of the board, and any other work necessary to meet the requirement for providing an efficient business operation.
